Before handing over access and presenting the contract for signature, reserve ten minutes with the person joining. Not to repeat the rulebook, but to explain what trust means and hear what they need from the organization. This honor commitment begins with two promises, not a one-sided demand.
The manager leads the conversation. HR prepares the conditions and later organizes them in the Nomiplex employee file. No document replaces that moment: welcoming someone also means explaining how you will work together.
Open with trust and explain its impact
The first moment can use a simple image: “We are giving you the keys to our house.” Access brings knowledge of processes, information and clients. Explain what is shared, how to protect it and whom to ask about confidentiality.
Trust also creates obligations for the employer: clear instructions, adequate resources and respectful treatment. Asking for discretion is not enough if the organization leaves responsibilities unclear.
The second moment connects work with other people. Protecting a client’s information, preparing a handover and keeping an agreement help support, sales and operations do their part. Explaining that interdependence gives care a purpose without using guilt or presenting the team as a family nobody can leave.
Recognize the right to grow
The third moment opens a conversation that often gets postponed: someday the person may want to start a business, join another employer or follow a different path. They can do so with dignity and respect.
The concrete request is to prepare an orderly handover, communicate outstanding work and protect confidential information. The organization, in return, commits to listening and coordinating a respectful transition. Loyalty does not mean staying forever.
Autonomy in Ryan and Deci’s framework helps explain why retaining choice matters; it does not guarantee retention. Bauer and colleagues’ research also highlights role clarity during onboarding, without independently validating this conversation script.
Give your word before signing
The fourth moment closes with reciprocity: “Can we count on your word to care for this team? From us, you can count on clarity, support and respect.” Allow questions and time to review the contract before accepting it.
Summarize what each side promises. If a condition remains unresolved, identify who will confirm it. The conversation prepares an informed decision; it does not replace written agreements or their review.
Put it into practice with Nomiplex
Schedule those ten minutes before signing and handing over access. Afterward, check that the contract and documents in the Nomiplex digital employee file reflect the confirmed conditions. Review the role, department, supervisor and working schedule with the newcomer: this foundation turns words into understandable employment references.
Assign HR to verify the information and the manager to explain responsibilities, confidentiality and support. Limit file access according to each user’s responsibilities. Resolve differences before proceeding; do not assume electronic signing or automatic access provisioning.
Request a Nomiplex demo to organize the employee file supporting that two-way commitment.
