Three welcome moments so nobody arrives as a stranger

Remember your first day at a company: arriving without knowing where to sit or whom to ask can matter more than a polished presentation. A good welcome answers a simple question through actions: “Were they expecting me?”

Prepare the answer in three moments: before arrival, the first day and the first week. Nomiplex helps organize the profile, documents and employment information; people provide the email, companionship and time to talk.

Before arrival, open a first conversation

Send the team an email with the newcomer’s name, role and a question they can ask on the first day. For example: “What would you like to learn about our work first?” That small opening makes introductions easier without requiring an improvised personal conversation.

Also confirm the time, location or connection link and who will welcome the person. For remote work, check equipment delivery and share a contact for difficulties.

Meanwhile, HR prepares the profile and documents in Nomiplex. Department, supervisor and working schedule should be clear before anyone explains them. A warm email works better when the operation is expecting the person too.

On day one, have the essentials ready

Badge, desk or equipment and access should be ready before the starting time. If the working day starts at nine, do not begin looking for them at nine. Assign in advance who checks each item.

Welcome the person and introduce their direct manager. Explain a manageable first task, where to ask for help and what can wait while they learn. If a blocker appears, someone should own its resolution; waiting without guidance is not a welcome activity.

Introduce the Nomiplex employee portal at a comfortable pace: finding a payslip, identifying the vacation balance and understanding a request’s journey may be enough to begin.

In week one, provide a buddy and lunch

Assign a peer buddy who is not the person’s boss. Their role is to answer everyday questions, explain routines and facilitate connections; the supervisor retains decisions about priorities and workload.

Schedule lunch from day one so nobody has to wonder whom to eat with. Offer an accessible alternative or remote conversation where needed, without mandatory expenses or pressure to participate.

Bauer and colleagues’ review connects role clarity and social acceptance with initial adjustment; it does not show that this lunch guarantees integration. Autonomy in Ryan and Deci’s framework reminds us that companionship should also respect preferences.

Put it into practice with Nomiplex

Choose the next arrival and divide three responsibilities: who sends the email, who confirms the workstation is ready and which colleague supports the first week. Schedule lunch from day one and confirm a comfortable format with the newcomer.

In Nomiplex, review the digital employee file, department, supervisor and schedule before arrival. During orientation, explain where to find payslips and how to submit leave or vacation requests and check their status. Close the week by asking what remains unclear and who will resolve each item. The system supports organization; the buddy gives everyday questions someone to turn to.
